# Duplicate or delete a quote

Reuse an existing quote as a starting point, or remove one you no longer need.

Both actions exist in two places, and both ask you to confirm before anything happens:

* **On the list** — in the **Actions** column of the **Quotes** page. Duplicate is the third of the four row actions, delete is the last. Their tooltips read **Duplicate quote** and **Delete**.
* **Inside the quote** — under **More actions** at the top right, as **Duplicate quote** and **Delete quote**.

Use the list when you already know which quote you mean. Open the quote first when you want to look at a request before you copy or destroy it.

## From the Quotes list

{% stepper %}
{% step %}

### Open Quote list

Go to **Quote list** in the app navigation to reach the **Quotes** page.
{% endstep %}

{% step %}

### Find the quote's row

Use the status tabs, or the search and filter control, to get to the quote you want. Check the **Quote ID**, **Customer** and **Created at** columns so you are certain it is the right one.
{% endstep %}

{% step %}

### Use the duplicate or delete action

The **Actions** column holds four actions on every row — they are always visible, so there is nothing to hover for. In order: download PDF, resend email, **Duplicate quote**, **Delete**.

{% endstep %}

{% step %}

### Confirm

Neither action runs straight away.

Duplicating asks **Duplicate selected quotes?** — "Are you sure you want to duplicate the selected quotes?" — with **Duplicate** and **No, keep them**.

Deleting asks **Delete selected quotes?** — "Are you sure you want to delete the selected quotes? This action can't be undone." — with **Yes, delete** and **No, keep them**.

<figure><img src="https://2993310686-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FIvNtDAMNVIdy5nl9kiOU%2Fuploads%2FpnNiwTlrmnTalR6epxFV%2Fimage.png?alt=media&amp;token=951ab56b-09bc-4970-969a-863013e49710" alt=""><figcaption></figcaption></figure>
{% endstep %}
{% endstepper %}

## From inside the quote

{% stepper %}
{% step %}

### Open the quote

Click the row on the **Quotes** page — clicking anywhere on it opens the quote, there is no separate **Edit** icon. The detail page opens, headed **Quote #** and its number.
{% endstep %}

{% step %}

### Check you are about to copy or delete the right thing

Look at the line items — **Products**, **Price & quantity**, **Total** — and at **Extra info** in the right-hand column, where the customer's own message sits. The **Timeline** shows what has happened to the quote so far.

This is the step that stops you deleting a live request that looked like a test.
{% endstep %}

{% step %}

### More actions > Duplicate quote or Delete quote

**More actions** sits at the top right of the quote. Opening it gives three entries: **Download as PDF**, **Duplicate quote** and **Delete quote**. Pick the one you want.

<figure><img src="https://2993310686-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FIvNtDAMNVIdy5nl9kiOU%2Fuploads%2FBKuA6FyLk89GWeukyOGY%2Fimage.png?alt=media&amp;token=a17ec7f6-73ec-4b2e-ab10-1f0211704793" alt=""><figcaption><p>Check you have the right quote before duplicating or deleting it.</p></figcaption></figure>
{% endstep %}

{% step %}

### Confirm

**Duplicate quote** asks **Duplicate Quote?** — "Duplicate this quote?" — with **Duplicate** and **No, keep them**.

**Delete quote** asks **Remove Quote?** — "Are you sure you want to delete this quote?" — with **Yes, delete** and **No, keep them**.

<figure><img src="https://2993310686-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FIvNtDAMNVIdy5nl9kiOU%2Fuploads%2F2wmTFlMTjAxUDeStAEfA%2Fimage.png?alt=media&amp;token=e746b688-afbf-435e-b266-1e0616ae70a3" alt=""><figcaption></figcaption></figure>
{% endstep %}
{% endstepper %}

## Duplicating

Duplicating copies the whole quote so you can change it without touching the original. It is useful when:

* A customer wants the same order again with different quantities
* You are quoting several customers for a similar job
* You want to try alternative pricing while keeping the original intact

Whichever route you used, the app confirms with **Quote duplicated** and then opens the copy for you, so you are already on the right screen to start editing. If it cannot, it says "Couldn't duplicate the quote."

{% hint style="info" %}
Do not confuse this with **Duplicate items**, the button on a line inside an open quote. That copies one product line within the same quote. **Duplicate quote** copies the entire quote.
{% endhint %}

{% hint style="warning" %}
A duplicate counts as a new quote against your plan's monthly allowance. When you have used it up, **Duplicate quote** is greyed out on the row and the app shows the red **Quote limit reached** banner, with **Upgrade plan** and **Contact support**. See [Plan comparison](/sa-request-a-quote/reference/plan-comparison.md).
{% endhint %}

### What to do with the copy

The copy opens on its own. Work through it before it goes anywhere.

{% stepper %}
{% step %}

### Fix the prices and quantities

The copy carries the original's line items, so retype anything that differs in **Price & quantity**. **Duplicate items** adds another near-identical line, and the delete control on a line takes one off.
{% endstep %}

{% step %}

### Fix who it is for

Change the **Email** and the **Contact information** in the right-hand column if this copy is for a different buyer. Getting this wrong is how one customer ends up seeing another customer's pricing.
{% endstep %}

{% step %}

### Check the money, then send it

Look over **Subtotal**, the discount, shipping and tax rate links and **Total** in the **Payment** panel. Save your changes, then use **Resend an email** — see [Send a quotation](/sa-request-a-quote/managing-quotes/send-quotation.md).
{% endstep %}
{% endstepper %}

Duplicating is usually faster than starting from scratch — the customer details and products are already there. If you are building a fresh quote instead, see [Create a quote manually](/sa-request-a-quote/managing-quotes/create-manually.md).

## Deleting

Deleting removes the quote from your list.

<figure><img src="https://2993310686-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FIvNtDAMNVIdy5nl9kiOU%2Fuploads%2FfNwwD0ktXFWBumWQHDyY%2Fimage.png?alt=media&amp;token=bc3c13f4-0afe-492b-b574-4bb152178f17" alt=""><figcaption><p>Deleting is immediate and cannot be undone.</p></figcaption></figure>

{% hint style="danger" %}
Deletion takes the uploaded files with it. The app's own bulk-delete warning says so in full: "This action can't be undone. The quotes and any files uploaded to them are deleted permanently, including from previously exported links. Make sure you've saved any exported and uploaded files before deleting."

So if a customer attached a drawing, a spec or a purchase order to the request, download it before you delete — links you have already shared stop working too.
{% endhint %}

{% hint style="warning" %}
If there is any chance you will need the record — a dispute, or your own reporting — keep a copy of it before you delete. Note that **Export quotes to CSV** is a PRO plan feature, so on FREE or PREMIUM there is no export to fall back on.

If **Export** is greyed out with a padlock line — "🔐 This feature is available on …" — that is your plan, not a fault. Download the quote as a PDF instead before you delete it: see [Download a quote as PDF](/sa-request-a-quote/managing-quotes/download-pdf.md).
{% endhint %}

Delete freely for the test quotes you raised yourself while setting things up. Be more careful with real customer requests, particularly ones sitting under **Order created** or **Purchased**.

### Deleting several at once

Tick the checkboxes beside the rows you want and a **Delete quotes** action appears above the table. It asks **Are you sure you want to delete the selected quotes?**, carries the same permanent-deletion warning, and confirms with **Yes, delete** or **No, keep them**.

There is no bulk duplicate — copies are made one quote at a time.

{% hint style="info" %}
If the quote is just cluttering your queue rather than genuinely finished with, use the buttons at the bottom of the **Payment** panel instead. **Mark as unread** puts it back under the **Unread** tab, and **Mark as paid** records that the customer has paid. Neither destroys anything.
{% endhint %}

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.samita.io/sa-request-a-quote/managing-quotes/duplicate-delete.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
